Directions
As stated in the Memo and Agenda Assessment, Mrs. Brook Lewis is coming in to speak to the employees of XYZ, Inc., located in the city of Buffalo, NY. She will be traveling in from San Antonio, TX, and is speaking September 13th at 9:00 am. As the Administrative professional, you have been tasked with the creation of an itinerary.
There will be six employees traveling from Richmond, VA, to the meeting in Buffalo, NY. The necessary flight and hotel arrangements for each employee who will be flying in and the guest speaker herself have already been made. See the table below for detailed information about the flights.

To help reduce expenses, employees in Buffalo, NY, have volunteered to transport those traveling from the airport to the hotel and, upon conclusion, back to the airport. Attendees will be staying at the Sheraton hotel from September 12th to September 13th. The meeting will be held in the Executive conference room located at the Sheraton hotel. The CEO is very excited to hear Mrs. Lewis speak about effective office strategies, efficiency, teamwork, and the changing office environment. Mrs. Lewis is a world-renowned speaker and expert in this area.
In Microsoft Word, create an itinerary for the guest speaker and employees traveling in that includes the meeting and a tour of the company. You can create this document either from an itinerary template or a blank document. For the guest speaker, only include a 30-minute meeting with the CEO on Monday morning at 8 am. Invite all attendees to join for the light breakfast starting at 8:30 am, in the hotel’s Executive conference room. The meeting will begin at 9:00 am and is scheduled to end at 11:00 am. Attendees will take a tour of the company headquarters from 11:30 am – 2:00 pm. Be sure to include your contact information if the employees or guest speaker runs into any trouble.
For this itinerary, use advanced functions of Microsoft word and display in a table format and include a picture for each item next to the heading (Departing Flight, Return Flight, Hotel Accommodations, and Meeting & Events). Be creative and showcase the features that you have been exploring in Microsoft Word with templates, graphics, and tables.
Elements of an Itinerary:
The purpose of an itinerary is to ensure effective time management while traveling. All necessary information is broken down into sections, organized sequentially so that everything can be easily and quickly understood regarding what is to be done, and when and where so that the program can proceed smoothly and efficiently.
- The first part is the title “ITINERARY” in all caps in the upper left-hand corner.
- After the title would be the header. The header contains information such as the company name, the beginning and end dates of the trip, the destination, the purpose of the trip, and contact information.

- Next, comes the trip information is broken down into sections. Each section should be titled according to the portion of the information covered.
